What This Role Entails
As an Executive Assistant, you will serve as a trusted strategic partner to senior leadership. Your main goal is to keep executives focused on high-impact priorities.
You will manage complex calendars, run cross-functional projects, handle executive communications, and ensure daily operations run smoothly. This role is ideal for a proactive problem-solver who enjoys working in a fast-paced environment where priorities evolve quickly.
Core Job Responsibilities
1. Executive Support & Calendar Management
- Manage complex executive calendars, scheduling, and multi-stakeholder meetings.
- Resolve scheduling conflicts proactively and prioritize competing requests.
- Draft meeting agendas, record key action items, and ensure timely follow-ups.
- Coordinate travel arrangements, logistics, and detailed itineraries.
2. Project Management & Cross-Functional Coordination
- Coordinate cross-functional projects from planning through completion using tools like Asana.
- Track project timelines to keep key company initiatives on schedule.
- Follow up with internal teams to ensure accountability and completion of tasks.
- Serve as a primary liaison between executive leadership and internal departments.
3. Strategic Administrative Support
- Draft professional emails, presentations, reports, and executive documentation.
- Conduct background research and prepare executive briefings for strategic decisions.
- Manage confidential files, documentation, and standard operating procedures with high discretion.
Self-Qualification: Do You Match the Profile?
To qualify for review by the hiring panel, candidates must meet the following non-negotiable benchmarks:
- Experience: 3 to 5 years of experience supporting senior executives, founders, or C-level leaders.
- Geographic Eligibility: Candidates must be based in Africa, LATAM, or Eastern Europe.
- Time Zone Requirement: Must be available to work 9:00 AM β 5:00 PM EST (U.S. business hours).
- Communication Skills: Exceptional written and verbal English communication abilities.
- Tech Stack: High proficiency with Microsoft Office Suite, Google Workspace, and project management platforms (Asana or similar).
